How to Resolve the "Cannot Delete Roles That Are Assigned to a User" Error

Follow

Overview

When attempting to delete a user role in Auvik, you may encounter the following error:

Failed to delete role(s): cannot delete roles that are assigned to a user.

This occurs when the role is still assigned to one or more users. To delete it, you must first remove or update the existing role assignments across all applicable sites.

Cause

Auvik prevents roles with active user assignments from being deleted. These assignments may exist across multiple sites within an organization.

Resolution

Step 1: Identify users assigned to the role

  1. Log in to your Auvik account.
  2. From the multi-site dashboard, navigate to Manage Users.
  3. Click Export to download the user list.
  4. Open the exported file and filter the role assignments to identify users associated with the role you want to delete.
  5. Note the affected users.

Step 2: Open the user's authorization settings

  1. On the Users page, search for an affected user by name or email address.
  2. Select the checkbox next to the user.
  3. Click Authorize to open the User Authorizations window.

Step 3: Locate the affected role assignments

  1. Under User Roles on Site, search for the role you want to remove.
  2. Review the results to identify all sites where the role is assigned.
  3. Select the checkboxes next to the applicable sites.

Step 4: Remove or replace the role assignment

Choose the appropriate action based on the user's access requirements:

  • If the user still needs access to the site: Assign another appropriate role, such as Read Only. This maintains access with the permissions granted by the replacement role.
  • If the user no longer needs access to the site: Remove the user's authorization for the applicable site.

Save the changes.

Important: Before assigning a replacement role, ensure that it provides the permissions the user requires.

Step 5: Repeat for other affected users

Repeat Steps 2 - 4 for each user associated with the role.

Verify that no users retain assignments to the original role.

Step 6: Delete the role

  1. Navigate to Manage Users > Roles.
  2. Locate and select the role you want to delete.
  3. Click Delete.
  4. Confirm the deletion when prompted.

Verification

After completing the procedure:

  1. Confirm that the deleted role no longer appears in the Roles list.
  2. Verify that affected users retain the appropriate access to their sites.
  3. If the deletion fails, review the remaining user assignments to ensure that the original role is no longer in use.
