A seamless employee onboarding process is essential for productivity, security, and efficiency. Auvik SaaS Management provides a centralized platform to streamline onboarding, ensuring new employees have immediate access to the tools they need—without the hassle of manual setup.
With Auvik SaaS Management, IT and HR teams can automate onboarding workflows, assign role-based application access, and gain full visibility into user activity—ensuring a smooth and secure onboarding experience.
How to Onboard a User
1. Access the Onboarding Workflow
The easiest way to onboard a user is through the Employee Lifecycle section in the Client Hub’s side navigation bar.
- Navigate to Employee Lifecycle > Onboarding.
- Choose an existing Auvik SaaS Management user or enter the user’s First Name, Last Name, and Email.
- Select either all applications or choose specific applications for onboarding.
- Click Next to proceed.
2. Configure & Initiate Onboarding
- Input any additional profile configurations required for the selected applications.
- Click Onboard to initiate the process for each application.
3. Managing Multiple Application Onboards
- If onboarding the user to multiple applications, the workflow will automatically advance. to the next application after the previous one completes.
- You can:
- Skip to a specific application from the list.
- Select Review Later to return to an application at another time.
- Before completing the onboarding workflow, all applications must either be completed or removed from the list.
Important Notes
- SaaS Ops Integration Required – Onboarding functionality is only available for applications that are integrated with SaaS Ops.
- License Requirements – Some applications may require specific license types for onboarding.
- License Availability - Some applications do not provide license data through their API, review your applications Integration Details for more information.
- User Visibility in Auvik SaaS Management – A user will only appear in Auvik SaaS Management once their activity is detected. Make sure to deploy Auvik SaaS Management on the user’s device to capture their usage and application access data.
Alternative Ways to Access the Onboarding Workflow
In addition to the Employee Lifecycle section, you can start the onboarding process from these locations:
1. From the Admin Hub → Applications
- Navigate to Applications > Applications Inventory.
- Select the desired application.
- Use the Onboard Action at the top of the Accounts tab.
2. From Identities & Assets → Users
- Navigate to Identities & Assets > Users.
- Locate the user you wish to onboard.
- Use the Onboard Action at the top of the Overview tab to start the onboarding workflow.
