Offboarding users from SaaS applications is critical for security, compliance, and cost efficiency. Follow the steps below to complete bulk or individual application offboarding to efficiently offboard a user from integrated applications through our easy-to-use workflow. Note the offboarding options and actions depend on the individual integration and are detailed within the workflow.
How to Offboard a User
1. Access the Offboarding Workflow
The easiest way to offboard a user is through the Employee Lifecycle section in the Client Hub’s side navigation bar.
- Navigate to Offboarding in the Employee Lifecycle section.
- Enter the name or email of the user you wish to offboard.
- Select either all applications or choose specific applications to offboard the user from.
- Click Next to proceed.
- Note: Offboarding is only available for applications that are integrated with SaaS Ops.
2. Review & Confirm Offboarding Details
- The Offboarding workflow will display the selected user details and applications.
- Confirm the details and which actions you wish to complete during the offboarding process for the selected application. Each application in the workflow has specific offboarding options based on the integration.
3. Execute the Offboarding Actions
- Once the required fields are completed and reviewed, select ‘Offboard’ to initiate the offboarding for that application.
- When offboarding a user from multiple applications at a time you can select ‘Review Later’ or skip to another application listed - you’ll be returned to it later before completing the workflow.
- Once offboarding for an application is completed, select ‘Next’ to proceed to the next application listed.
- Once the final application listed is offboarded you can complete the workflow by selecting ‘Done’.
- A prompt will showcase any skipped applications before completing the workflow, and allow you to either complete or remove them from the existing workflow.
Using the Offboarding Report
- Once the offboarding workflow is completed you’ll be able to quickly access the Offboarding Report.
- The Offboarding Report provides a complete list of all applications the user needs to be offboarded from.
- Data is updated daily, so recently offboarded applications may still appear on the report for a short period.
Alternative Ways to Access Offboarding
In addition to the Employee Lifecycle Management section, you can also start the offboarding process from these locations:
1. From the Admin Hub → Applications
- Navigate to Applications > Applications Inventory.
- Select the desired application.
- Find the user within the table and use the action menu in the Accounts tab to begin the offboarding process.
2. From Identities & Assets → Users
- Navigate to Identities & Assets > Users.
- Locate the user you wish to offboard.
- To offboard from all integrated applications, use the Offboard Action at the top of the Overview tab.
3. Offboarding from a Single Application
- In the Overview tab, locate the Application table.
- Use the action menu to offboard the user from a specific application.
